Form 11 Checklist: 5 Things to Gather Before You File

A smooth Form 11 checklist comes down to having a complete, organised picture of your year before you start – not scrambling for missing details once the deadline is close. Here's what to have ready, and why each one matters more than it might seem.

1. All business income, from every source
Make sure every source of business income is capture
d – not just your main invoicing or till system. If you receive payments through more than one bank account, a card reader, PayPal, Stripe, or any other platform, pull records from each of them separately. Missing income from a secondary account is one of the most common reasons a return needs to be revisited after submission, and it's far easier to catch during preparation than after Revenue queries it.
2. Any other taxable income outside the business
Rental income, dividends, deposit interest, investment gains, or foreign income all need to be included alongside your main business figures. It's easy to mentally file these as "separate" from your business tax return, but Form 11 covers your entire tax position for the year, not just trading profit. If you're unsure whether something counts, mention it anyway – leaving it out is a bigger risk than flagging something that turns out not to matter.
3. Receipts and records for allowable expenses
Common categories include accountancy and professional fees, business insurance, software and subscriptions, phone and broadband, marketing, office costs, business travel, and motor expenses. A few of these have specific rules worth knowing in advance:
• Motor expenses: only the business-use proportion is deductible if you also use the vehicle privately, and you'll need a basis for that split – typically a mileage log or a reasonable estimate
• Home office costs: a proportion of light, heat and broadband can be claimed based on the space and time genuinely used for work
• Subscriptions and memberships: only those with a clear business purpose qualify, not general professional interest
Don't quietly decide something isn't allowable and leave it out. Bring us the full picture and we'll determine the correct tax treatment – it's much easier to deal with while your accounts are being prepared than to unpick it months later.
4. Details of any large purchases
A laptop, machinery, tools, vehicles or other significant equipment bought during the year usually isn't treated as an ordinary expense in the year of purchase. Instead, capital allowances typically apply, spreading the tax relief over several years – for most plant and machinery, this is a standard rate of 12.5% per year over eight years, known as wear and tear allowances. Flag anything significant separately so it's captured correctly rather than lumped in with day-to-day costs.
5. Pension contribution records
Personal pension contributions made during the year can qualify for Income Tax relief, subject to age-related percentage limits on your net relevant earnings – the maximum percentage rises in bands as you get older, from 15% under age 30 up to 40% from age 60 on. Have the contribution dates and amounts ready, along with confirmation of when each payment was made, since timing can affect which tax year the relief applies to.
